Many dealer and distributor networks naturally use WhatsApp, calls and spreadsheets because those tools are familiar and flexible. The problem appears when order volume increases. Product codes are mistyped, current pricing is unclear, availability changes between messages and staff must re-enter the same order into another system.

A B2B ordering system does not need to replace human relationships. Its purpose is to make routine ordering self-service while preserving sales-team involvement where it adds value.

Start with authenticated customer accounts

B2B customers may see different products, prices, credit terms or order rules. The system therefore needs a reliable way to identify the customer before showing account-specific information.

Accounts can be created by administrators, approved after registration or synchronised from ERP. The best method depends on how customer masters are already maintained.

Show the product information dealers actually need

Dealer portals should optimise for repeat ordering. Search by SKU, model, category or product name may be more important than large lifestyle imagery. Frequently ordered products, recent purchases and saved lists can reduce the time needed to create an order.

Mobile usability is especially important because many field users place orders from phones.

Apply customer-specific pricing consistently

If each dealer has a price list, discount group or negotiated rate, the portal should use the same rule as the back-office system. Avoid manually maintaining one set of prices online and another in ERP.

When promotions or schemes exist, display how they apply so the customer understands the final amount before submitting.

Decide what availability means

Showing “in stock” without a clear rule can create false promises. The system may need to consider physical stock, reserved stock, production availability or branch-level inventory.

Some businesses prefer to show a simple state such as Available, Limited or On Request instead of exact quantities. The right choice depends on commercial policy and data accuracy.

Support drafts and repeat orders

B2B orders can contain many lines and may be prepared over several sessions. Draft carts, saved order templates and repeat-order functions reduce repetitive work.

For sales representatives ordering on behalf of customers, the system should record who actually created the transaction.

Build an approval workflow only where needed

Some orders may require approval because of credit exposure, discount, low margin, unavailable stock or special delivery requests. The portal can accept the order immediately while placing it in a controlled pending state.

Approvals should be visible to the people involved rather than disappearing into private messages.

Connect to ERP instead of creating another data island

The most valuable B2B portal is usually connected to customer, product, stock and order data. Define which system owns each type of information and what happens when integration fails.

A submitted order should receive a clear acknowledgement even if a downstream system is temporarily unavailable. Failed synchronisation should create an exception for staff rather than silently losing the order.

Give customers useful order visibility

Dealers do not necessarily need every internal ERP status. They usually need a simple view of submitted, confirmed, pending, ready, dispatched and delivered orders, plus relevant documents where appropriate.

This can reduce repeated calls asking for order and dispatch status.

Add WhatsApp in the right role

WhatsApp can remain valuable for notifications, reminders and support. The difference is that the message can now point to structured order data instead of becoming the only record of the order.

A connected WhatsApp automation flow might notify a dealer when an order is confirmed or dispatched while the full order remains available in the portal.

Measure adoption, not only registrations

A B2B portal succeeds when customers actually use it. Track active accounts, repeat orders, search failures, abandoned carts and the share of orders that no longer require manual re-entry.

Interview customers who continue ordering manually. Their reasons often reveal missing product information, pricing confusion or usability problems.

Start with the repetitive order journey

The first release does not need every feature of the ERP. Focus on the high-frequency journey: sign in, find products, see the correct commercial information, build an order, submit it and follow its status.
